Found a job? Follow these three easy steps.
STEP 1 – ACCEPT YOUR FWS AWARD
(if you have not already done so)
Log in at my.american.edu. Navigate to Finances > Personalized Links > Accept Financial Aid Award Package. Be sure to select the Federal Work Study (FWS) award option.
If the FWS award option does not appear, you may not have been granted one. Seek clarification from your Financial Aid counselor.
STEP 2 – COMPLETE AN I-9 EMPLOYMENT ELIGIBILITY VERIFICATION FORM
The I-9 is a federal document that verifies your identity and eligibility to work in the United States.
Obtain the form from your supervisor or from Human Resources (HR). Complete Section I of the form and ask a certified AU staff member, either in your department or in HR, to complete Section II. If working off campus through DC Reads or with a community service organization, contact the AU Career Center and specifically Tasha Daniels, Student Employment Coordinator, for assistance.
Complete the form within three (3) days of your start date and submit it to Human Resources. If you do not complete the I-9 within three days, you cannot work.
In order to complete the I-9, you must present original documentation (see options below), so be sure to bring these documents with you from home.
List A
- U.S. Passport (unexpired or expired)
- Permanent Resident Card or Alien Registration Receipt Card (Form I-551)
- An unexpired foreign passport with a temporary I-551 stamp
- An unexpired Employment Authorization Document that contains a photograph (Form I-766 , I-688, I-688A, I-688B)
- An unexpired foreign passport with an unexpired Arrival-Departure Record, Form I-94, bearing the same name as the passport and containing an endorsement of the alien's nonimmigrant status, if that status authorizes the alien to work for the employer
List B
- Driver's license or ID card issued by a state or outlying possession of the United States provided it contains a photograph or information such as name, date of birth, gender, height, eye color and address
- ID card issued by federal, state or local government agencies or entities, provided it contains a photograph or information such as name, date of birth, gender, height, eye color and address
- School ID card with a photograph
- Voter's registration card
- U.S. Military card or draft record
- Military dependent's ID card
- U.S. Coast Guard Merchant Mariner Card
- Native American tribal document
- Driver's license issued by a Canadian government authority
- School record or report card
- Clinic, doctor or hospital record
- Day-care or nursery school record
List C
- U.S. Social Security card issued by the Social Security Administration (other than a card stating it is not valid for employment)
- Certification of Birth Abroad issued by the Department of State (Form FS-545 or Form DS-1350)
- Original or certified copy of a birth certificate issued by a state, county, municipal authority or outlying possession of the United States bearing an official seal
- Native American tribal document
- U.S. Citizen ID Card (Form I-197)
- ID Card for use of Resident Citizen in the United States (Form I-179)
- Unexpired employment authorization document issued by DHS (other than those listed under List A)
STEP 3 – COMPLETE FEDERAL AND STATE TAX FORMS
Obtain the following forms at my.american.edu (Finances > HR: Forms > Pay Deductions and Tax Forms) or from Human Resources:
Form W-4: List your permanent residence, typically your family’s home address, on this federal form.
Form D-4 (DC), MW-507 (MD) or VA-4 (VA): Complete the appropriate state tax form according to your residency while attending AU. If you live on AU’s campus, please complete Form D-4 (DC).
Return completed forms to Human Resources; otherwise, you will be taxed at the highest brackets.
